Automations

Loyalty automations that send themselves

An automation watches for one thing and sends the moment it happens. Nine things can set one off: someone joining, a visit, a reward earned, getting close to one, a birthday, an anniversary, a milestone visit, fourteen days of silence, or a schedule you pick. Set it once and it runs on every customer.

What can trigger a message automatically?

Nine things. The first three happen while the customer is still in your shop; the rest are the ones you could never catch by hand, which is most of the reason to automate anything.

The nine automation triggers, when each fires, and what to send off it
TriggerFires whenWhat you would send
When someone joinsSomeone adds your card to their walletWelcome to the club. Your first stamp is already on there.
After a visitYour staff scan a customer's cardThat's another one. Three more and your next coffee is on us.
When a reward is earnedA customer completes their cardYour card is full. Claim your free one next time you're in.
When they're close to a rewardA customer is one visit away, by defaultOne more visit and the next one is on us.
When they stop comingNo visit for 14 days, by defaultWe've not seen you in a while. Here's double stamps this week.
On their birthdayThe birthday they gave you, once a yearHappy birthday. Your cake is on us any time this week.
On their anniversaryEach year on the date they joinedA year since you joined. Here's a thank you.
On a milestone visitA set number of visits, 5 by defaultThat's five visits. You're officially a regular.
On a scheduleThe days and time you pickThursday roast is on. Tables are going quickly.

What can an automation do after it fires?

Three kinds of step, up to twenty of them in one flow. Most useful flows are a send, a wait, and then something else.

The three kinds of step an automation can take
StepWhat it does
SendA message on any of push, email or SMS, or on more than one at once.
ActionChange something on the customer's card rather than message them.
WaitHold for a set number of hours or days before the next step runs.

The actions a step can take

  • Add a stamp. Put one more on their card.
  • Add points. Credit a set number of points.
  • Start a boost. Make visits worth more for a while, for that customer.

How often will a customer actually hear from you?

Three times a week at most, by default, and once if it is a text.

The default weekly limits on messages to one customer
LimitDefaultCounted across
Marketing messages3 in 7 daysAll channels together
Push notifications3 in 7 daysPush only
Texts1 in 7 daysSMS only
Promotional texts1 in 14 daysOffers and promotions only

The count is kept per customer and covers your automations and your campaigns together, so a flow you switched on months ago cannot quietly use up someone's week. When two messages would both land, the more important one displaces the other rather than both going out. And one message sent on all three channels counts as one interruption, not three.

What does Passumo deliberately not do?

The four things people most often assume an automation tool does.

  • Messages that escalate from one channel to the next. There is no read or open tracking, so nothing knows whether a message landed. Each flow picks its channels up front.
  • Quiet hours. Nothing is held back by time of day. The weekly cap is what protects a customer, not a curfew.
  • Scheduling a campaign for later. Campaigns send now. The scheduled trigger is how you pick a day and time in advance.
  • Granting a reward automatically. A flow can add stamps or points and let the reward unlock itself, but it cannot hand one out directly.

What does a finished flow look like?

Five built from the triggers above, with the runtime's real defaults.

  • WelcomeThe first hour after someone joins is the only time you know for certain they're thinking about you. Use it.
    1. When When someone joins
    2. Then Send a notification
    3. Then Wait 3 days
    4. Then Add 1 stamp
  • Close to a rewardOne stamp from a free coffee is the single most persuasive moment in a loyalty card. It should never pass unmentioned.
    1. When When they're close to a reward
    2. Then Send a notification
  • Win-backA regular who's stopped coming rarely decided to leave. They just fell out of the habit, so remind them.
    1. When When they stop coming
    2. Then Send a notification
    3. Then Wait 7 days
    4. Then Send an email
  • BirthdayThe one message a year nobody minds getting, and the easiest excuse a customer will ever have to come in.
    1. When On their birthday
    2. Then Send a text
  • MilestoneBeing noticed on your fifth visit is what turns a customer into a regular. It costs you a handful of points.
    1. When On a milestone visit
    2. Then Send a notification
    3. Then Add 50 points
